Department Events
Any event sponsored by a department that is hosted on the campus of Mississippi State University that could be hosted indoor or outdoor; where minors are invited to attend; where external guests are invited as speakers or attendees; and/or where alcohol is planned to be served or sold.

The form will ask you to provide:
- Event title, description, and purpose
- Date, time, and location
- Target audience (e.g., students, faculty, staff, community, etc.)
- Sponsoring department(s) or collaborating unit(s)
There are a lot of events that happen every day at MSU. To improve communication and coordinate all of the different activities happening on campus, this form allows essential departments to provide the services and event assistance that departments may need to carry out a successful event.
Please submit event information two weeks prior to the event date. Ten business days will allow each department to respond to your request.
No, you still need to contact Event Services at (662) 325-3228 to make your room reservations and request your event set-up needs. They can also assist you in connecting with departments that reserve other facilities, including athletic facilities and the Mill.
You will receive an automatic confirmation once you submit the form. You will also receive a follow-up email with feedback to assist you in planning for your event.
If you are bringing guests or buses to campus or need to book shuttles, please make sure that Transportation Services is aware. They can work with you to coordinate your event. All vehicles at MSU must have a valid parking permit. Visitors can purchase a visitor or daily parking permit at https://www.transportation.msstate.edu/parking/visitor.

For all on-campus dining needs, please contact Dining Services at https://msstatedining.campusdish.com/. For alternative dining options, contact Event Services for approved caterers for campus facilities.
Please make sure you use a third-party caterer that has an alcohol permit to serve and distribute alcohol. Most can use the caterer that will provide food for your event to meet this request.

During the Spring semester, Dr. Jackie Mullen, Assistant Vice President of Student Affairs, will be hosting three event management planning sessions. Dr. Mullen has been planning events on the campus for 17 years, so come learn how to make your event a success by attending one of these sessions:
- Tuesday, August 5, 3 p.m. — Fowlkes Auditorium in the Colvard Student Union
- Wednesday, August 27, 3 p.m. — Fowlkes Auditorium in the Colvard Student Union

Incident/Event Action Plans (IAPs/EAPs) are drafted for specific incidents or planned events and detail how leadership functions and communicates. University groups are encouraged to complete an EAP for all medium and large campus events. A template is provided to assist event planners with IAP development. Contact the Office of Emergency Management to have your plan reviewed. Contact ready@msstate.edu for information about an IAP/EAP template.
